Reasons Why "Email Etiquette" are so important in Professional World!
Since from the very beginning of my career I’ve been told by my manager that, “Communication is very important!” It took me years, a lot of escalations, near to loss situations to understand what he actually meant and frankly I am still learning.
In the initial stage of my career, I found it quite weird how people
are playing on emails when they can simply call and discuss things but
eventually I got to know this “fine art of formal messaging” and how the whole
corporate sector is actually running on this. Here are some reasons how
communication plays a key role in running any business doesn’t matter if
it’s as big as a corporate or as small
as a vendor.
Proof of “Ask” :
Ask anyone who is into work life and deals with stake holders they’ll tell you
the first and fore most rule of fulfilling any request is “Get it formally aka
get in written what has been ask”. The reason behind this is that the stake
holders are very short memory persons and they always forgets what they’ve
asked for and in turn blames you for tampering with their initial product. In
such situations, had you got the approval in written, then this written communication comes handy
and get the dust off their memory and save you from a very potential job loss
situation.
To state the obvious:
I used to smirk at my classmates when they use to re iterate the same thing
stating the obvious that they have actually done their assignments but my
experience in corporate has taught me that those girls may have known the fact
much better that me. When you are working on something it’s very important for
the second person to actually know that the brain and hard work behind that
piece of art is yours as you may not even realize how many layers exists in
this piece of cake. So, it’s very important for you to call out and state the
obvious.
The acknowledgement:
As important as to work on something it’s even important to actually let the
stake holders know that you are actually working on their request. So, timely acknowledgement
that you have got their request and it is going to take n days to work on that
will make the second person satisfied and less worried about his work and it
definitely shows how responsible you are as a worker.
To inform the delay
timely: We all are human beings with natural restrictions and least control
over circumstances and situations. There will be times when with all of your
sincere hard work and efforts things won’t go as they should have and it’s no
one’s fault. The ideal thing to do in such situations would be a timely
communication to the respective stake holders about the delay and trust me
they’ll all understand.
Its basic human nature to be intrigue, to be secretive about
conversations but when it comes to professional conversations you definitely need
a witness, let your mails be that for you!
